3. What personal data we collect and why
We collect and process the following categories of personal data:
- Account and contact data: first name, last name, email address, phone number, and your preferred language, so we can create and manage your customer account, communicate with you, and display the webshop in your language.
- Company and billing data: company name, billing address, postal code, city, country, VAT identification number, and business contact details, so we can issue correct invoices and validate your VAT status for tax purposes.
- Order and stand data: the products, stand space and timeslots you order, order and invoice numbers, prices, discounts, vouchers and credits applied, and the trade-fair event, hall and stand the order relates to, so we can fulfil, invoice and, where applicable, cancel your order and organise stand logistics on-site.
- Payment data: your chosen payment method and status/reference data returned by our payment providers (see Section 6), so we can process and verify payment for your order. We do not store full card numbers or other complete payment credentials ourselves; these are handled directly by the payment provider.
- Technical data: your IP address and standard web server log data, processed for security and to keep the website operating reliably.
4. Legal basis for processing
We process your personal data on the following legal bases under Article 6(1) GDPR:
- Performance of a contract (Art. 6(1)(b) GDPR): to create your account, process your order, and provide the products and stand space you have purchased.
- Legal obligation (Art. 6(1)(c) GDPR): to meet invoicing, bookkeeping and tax record-keeping requirements under German commercial and tax law.
- Legitimate interests (Art. 6(1)(f) GDPR): to prevent fraud, validate VAT numbers, secure our systems, and organise logistics at the event (e.g. picklists and stand notes used by hall managers).
5. Cookies
This website uses a single functional cookie that remembers whether you have already seen a price-increase notice for a specific event, so it is not shown to you again during your visit. This cookie does not identify you personally and is not used for analytics, tracking or advertising.
We do not use Google Analytics, advertising pixels, social media plugins, or any other tracking or marketing cookies on this website.
6. Who we share your data with
We share personal data with the following categories of recipients, only to the extent necessary:
- Payment providers: PayPal, which processes payments you make through the webshop; for orders placed before our move to PayPal, our former payment provider Worldline/Ingenico. Each provider processes your payment data as an independent controller under its own privacy policy.
- VAT validation service: the EU VIES service, to verify that a company VAT number you provide is valid.
- Hosting provider: our hosting provider, whose servers are located in the Netherlands (EU), hosts the website and database on our behalf under a data processing agreement.
- Email delivery: a transactional email service we use to send order confirmations, invoices and payment reminders on our behalf.
We do not sell your personal data, and we do not share it for third-party marketing purposes.
7. International data transfers
Our hosting and email delivery take place within the European Union. PayPal may process data outside the EU/EEA, including in the United States. Where this occurs, PayPal relies on appropriate safeguards such as the European Commission's Standard Contractual Clauses. You can find more information in PayPal's own privacy policy.
8. How long we keep your data
We keep invoices and order records for as long as required by German commercial and tax law (generally 6 to 10 years under the Handelsgesetzbuch and Abgabenordnung).
We keep detailed payment provider log data only for the most recent transactions on your account; older entries are automatically trimmed on a rolling basis and are not retained indefinitely.
We keep your account and company data for as long as your account is active, and for a reasonable period afterwards to handle any outstanding orders, claims or legal obligations.
9. Your rights
Under the GDPR, you have the right to:
- request access to the personal data we hold about you;
- request correction of inaccurate or incomplete data;
- request erasure of your data, where we are not required to keep it for legal reasons;
- request restriction of, or object to, our processing of your data;
- request a copy of your data in a portable format;
- withdraw any consent you have given, at any time, without affecting the lawfulness of processing before the withdrawal;
- lodge a complaint with a data protection supervisory authority. In Germany, the competent authority for us is the Landesbeauftragte für Datenschutz und Informationsfreiheit Nordrhein-Westfalen (LDI NRW). You may also contact the supervisory authority in your own country.
To exercise any of these rights, please contact us using the details in Section 2.
